What information do we need?

Unless specifically agreed with you, we will only collect personal data about you which does not include any special categories of personal information about you and your organisation (also known as ‘sensitive personal data’. The information will however include details such as your name, address, e-mail address and job title.
Why we need this information?
Your information is being collected for the following purpose(s):-
To ensure your organisation meets Health & Safety requirements to allow young people to undertake work placements in your establishment.
We need to know this basic personal data in order to provide to establish our rights in relation to those services, as detailed in the letter of understanding we have with you. If you do not provide this information then we will be unable to enter into a work placement partnership with you. We will not collect any personal data from you that isn’t needed for delivery of those services.
The legal bases for collecting your information in these circumstances are:
Legal Obligation: Health and Safety at Work etc. Act 1974 and the Management of Health and Safety at Work Regulations 1999 places a responsibility on employers to ensure the health and safety of their employees.
Performance of a contract: as detailed in the Letter of Understanding sent to you from schools.
What we will do with your information?
All of the information we collect from you will be processed by staff in the United Kingdom.

We will also generally comply with requests for, and share, specific information from other regulatory and law enforcement bodies where this is necessary and appropriate.
You should also be aware that your data will be stored on servers located within the United Kingdom; the data will not be processed outside the European Union. We will take all reasonable steps to ensure that your data is kept securely and more information on how we do this is provided on the Council website () or can be provided in paper format on request to School Support 01369 704000.
How long will we keep your information?
We will usually keep your information for a maximum of 3 years depending on the level of risk associated with the work place. If an organisation decides to stay on the work placement programme new forms would be completed. If it is decided to withdraw from the programme the information will be destroyed under secure arrangements if it is no longer required for the lawful purpose(s) for which it was obtained. Automated Decision Making
No automated decision making will be undertaken.
Your Rights
When you provide information to the Council, you will have the following rights:
- to withdraw consent at any time, where the legal basis specified above is consent
- to lodge a complaint with the Information Commissioner’s Office
- to request access to your personal data
- to data portability, where the Legal basis specified above is i) consent or ii) performance of a contract
- to request rectification or erasure of your personal data, as so far as the legislation permits
